How to update proposal when changes are indicated after installation details are prepared

VISION:

This process was created to provide inexperienced estimators with a step-by-step guide on how to deal with cases where it becomes apparent to the drafters, during the preparation of the installation details, that the proposal needs to be updated due to changes in the installation details.

While preparing window installation details based on available architectural drawings and project information, the Drafting team may identify and implement adjustments that require the quote to be updated in order to align with the finalized installation details.

 

For example, a quote may initially include two types of sills, but during the preparation of installation details, Drafters may determine that six different sill types are required, resulting in necessary changes to the quote.

 




In all cases where changes to the installation details require a quote update, once Drafters complete the installation details, they must change the status of “Inst. Details” to “Completed.” As a result, the “Shop Drawings” status will automatically change to “Canceled.” ->


When submitting the installation details, Drafters must clearly indicate what has changed and what needs to be updated in the quote to align with the installation details. If there are any questions or uncertainties, please contact the Drafter directly for clarification. ->

The system will automatically create a revision request in BlueScreen for the quote update. If there is no active Main Proposal revision at that time, the request type will be created as “Main Proposal.” If there is already an active revision of that type, the system will create an “Other” type request. ->

In both cases, under Requirements you will see “ERP request – quote adjustments needed,” along with a link to the updated installation details file and the ERP system, where all changes are fully detailed by the Drafter. ->

Update the quote based on the Drafter’s comments, following the standard process used in all other cases, and submit the updated quote. ->


If the request type is “Other,” please close it after the quote has been updated. ->




Once the quote has been updated and submitted in BlueScreen, you must return to the ERP system and submit a new request to update the Shop Drawings ->  

Navigate to the “Shop Drawing” section (Note: it is important to be in the Shop Drawing section, not the “Inst. Details” section, to ensure that both Shop Drawings and Installation Details requests are created). ->  

Select “Request for Revision” and enter all required information. Under the “Quote” selection, choose the updated proposal, then click “Save.”

After clicking “Save,” the same button will change to “Request.” Click “Request” to submit the revision. ->  

Once submitted, the Shop Drawing request will be sent to the Drafting team.


As a result, both “Shop Drawings” and “Inst. Details” statuses will change to “Pending,” allowing the Drafting team to proceed and finalize the full Shop Drawing set.
