How to update proposal when changes are indicated after installation details are prepared

VISION:

This process was created to provide inexperienced estimators with a step-by-step guide on how to deal with cases where it becomes apparent to the drafters, during the preparation of the installation details, that the proposal needs to be updated due to changes in the installation details.

The Drafters team, which is responsible for the preparation of the installation details for the shop drawings, also has the obligation to inform the Estimator if, during the preparation of the installation details, it becomes apparent that due to changes in the installation details, it is necessary to update the proposal to reflect the changes. For example, it becomes apparent that 3 different windowsills need to be used instead of 2, or a widening profile is required for one reason or another, or the installation method needs to be changed, etc.

 

 

In all cases where changes to the installation details require the quote to be updated, the Drafters will change the status of the "Shop drawings”" to "On Hold" and the status of "Inst. Details" will change to "Under PC Review"->

-> You will then receive an email notification informing you that due to changes in the installation details, you need to update the quote->



 

 


-> Changes to the proposal must then be made (Prioritize this task as high priority) ->  

Inform your Team Leader via Teams to create a task with type "Other" (Minor changes -> + 1 working day; Extensive changes + 2 working days)

 

 

Follow the same steps as for a regular quote update and close the "Other" task when finished*. Note: you can see the required changes in the ERP system, where the Drafter will have left a description. If there are any questions, you should contact the Drafter who prepared the installation details directly via Teams for clarification->

 

* In the future, when the IT makes the necessary changes, a revision request will be automatically created in BlueScreen to update the proposal

 

 

-> After updating the quote, go to the ERP system and select the installation details section of the project, click "EDIT", then select the updated proposal in the "Link to the proposal" section, and click "SAVE"->

 

 

 

 

 

 

 

 

-> Follow the same steps in the "Shop Drawings" section, which will still have the "On Hold" status. After these steps are completed, the "Shop Drawing", and "Inst. Details" status will change to "Pending", which means that the Drafting team will be able to continue with the Shop Drawing update based on the updated quote
